1. Raw materials (quality foundation, priority to check semi-finished product warehouse/raw material warehouse)1. Panel materials (office desks, cubicles, filing cabinets)
Sheet material identification
Request the material quality assurance certificate and testing report, and verify the environmental protection grade (ENF/E0); refuse to accept only the sample report of the board material, and require the CMA testing report of the finished furniture.
Randomly disassemble the semi-finished backboard and inspect the hole locations to observe the interior of the substrate: High-quality: The particle board structure is dense with few impurities; the multi-layer board is laminated neatly without voids; Low-quality: There are a large amount of bark, sediment, and numerous gaps, making it highly susceptible to deformation and swelling due to moisture.
Thickness specifications for panels: Regular desktop panels ≥ 25mm, side panels ≥ 18mm; using thinner boards is a common practice in the industry to reduce costs.
For the finish (melamine board/fireproof board), gently scratch the edges and corners with a key: high-quality finishes are not prone to revealing the substrate; inferior ones turn white and peel off upon scratching. For fireproof board projects, it is essential to confirm that the finished product is indeed covered with fireproof board, and not just ordinary melamine board posing as something else.
Edge banding (the most intuitive watershed) ✅ Qualified: No gaps, no glue spillage, smooth corners, uniform thickness of edge banding, and cannot be easily broken apart by force; ❌ Inferior: Obvious glue lines, burrs, warped edges, abrupt right angles, and prone to moisture and debonding in the short term. Key observation: Whether a fully automatic heavy-duty edge banding machine (with pre-milling and tracking chamfering) is used; small semi-automatic edge banding machines generally have unstable quality.
2. Hardware accessories (determine service life)
Guide rails, hinges, locks, table legs, and connectors are the core components prone to wear and tear
Inquire about the standard brand and distinguish between cold-rolled steel and thin iron sheet;
Repeatedly opening and closing the drawer: it should be smooth without any jamming or obvious shaking, and ideally, it should have a buffering effect when closing;
A key warning: Many custom office furniture factories use branded hardware in their showrooms, but switch to generic, thin metal sheets for the bulk production.
The contract must specify the hardware brand and model to prevent "high-end samples with low-end batch products".
3. Steel furniture (filing cabinets, steel-framed desks)
Steel plate thickness: Compare the thicknesses of columns, door panels, and layer boards on site;
Welding position: full welding, polished and leveled, no cold solder joint;
Spray painting: The surface should be smooth and free of particles and orange peel, and the edges and corners should not easily peel off paint; inferior spray painting will peel off immediately upon impact and is prone to rusting.
4. Upholstered furniture (office chairs, sofas)
Frame: Whether the solid wood frame has undergone anti-corrosion treatment; poor ones directly use mixed wood or MDF;
Sponge: High-density natural sponge provides quick rebound and no collapse upon pressing; recycled sponge feels hard and has poor rebound upon pressing;
Fabric: Abrasion resistance parameter, no pilling when rubbed vigorously; check the leather for any pungent odor.
II. On-site inspection of production processes (don't just wander around the exhibition hall, be sure to enter the workshop)Cutting: The cut of the board should be smooth, without a large amount of chipping; excessive chipping indicates that the equipment is old and has poor precision.
Drilling with a row drill: The hole positions should be regular, the inner walls of the holes should be smooth, and the hole positions should be precisely aligned; skewed holes and chipped edges can lead to loose assembly.
Conduct random inspections in the semi-finished assembly area. Shake the cabinet to assess its overall stability; a well-assembled piece of furniture should have a sturdy frame, with no noticeable abnormal noises or looseness.
Does the paint/spraying workshop have an independent dust-free room? Open-air sanding and simple spray painting result in strong odors, high probability of VOC exceeding standards, color differences, and numerous particles.
III. Simple testing method for physical objects (on-site operation in the exhibition hall/sample area)Stability test: Shake the desk and filing cabinet with both hands: the frame should not wobble or make any abnormal noise; significant wobbling indicates poor structural design and shoddy workmanship in the connecting parts.
Simple load-bearing test: Apply appropriate pressure to the center of the tabletop and observe for any noticeable bending or deformation.
Waterproof and anti-fouling test (on-site test if possible) Apply a small amount of clear water on the surface of the board, let it sit for a few minutes, and then wipe it dry; inferior boards will allow water to penetrate, leaving a watermark.
Odor identification: Place the sample in a closed cabinet and let it stand for a moment. If it has a pungent and irritating odor, it indicates high levels of VOCs and formaldehyde; high-quality products only have a slight odor of raw materials.
IV. Quality control system: distinguishing between "relying on worker consciousness" and standardized controlSeveral key observation points:
Are there positions for incoming inspection, process inspection, and final inspection of finished products, and can inspection records be presented;
Is there an independent area for stacking defective products? If the defective product area is messy and filled with a large number of scrap products, it indicates that the production process is unstable. If no defective products are visible at all, it is highly likely that they have been cleaned up and concealed in advance;
Packaging standards: Whether the finished products are equipped with EPE foam and corner protectors; whether wooden frames are provided for long-distance projects for protection. If the packaging is crude, the rate of transportation damage will be extremely high.
5. Predict the quality of bulk goods through samples and sample making (very crucial)
Clarification: Is the sample craftsmanship equivalent to the mass production standard? Many office furniture customization factories specialize in crafting showroom samples with precision, but lower standards are applied for mass production. During negotiations, it is agreed in writing that the quality of the bulk goods shall not be inferior to the confirmed sealed sample.
Sample making cycle and cost; rejecting manufacturers who refuse to finalize the sample on the grounds of "sample making being troublesome".
Retain the signed sample as the basis for future acceptance.
VI. Reverse verification of quality through project casesIt is required to visit the site of office furniture customization manufacturers where office projects have been completed for 1 to 3 years. For newly completed projects, durability issues cannot be observed; however, for venues that have been in use for more than 2 years, long-term issues such as edge banding peeling, cabinet deformation, hardware jamming, and panel peeling can be visually observed.
Proactively contact the purchasing party to gain insights into the delivery damage rate and after-sales maintenance frequency.
VII. Identification of high-frequency quality trapsStealthily changing the thickness and environmental protection grade of boards, using good materials for showroom samples, but downgrading the bulk goods;
The edge banding is only applied to the visible front side, while the back panel and inner side edges are not edged (highly susceptible to moisture and formaldehyde release);
The interior of the cabinet has been simplified and the reinforcement bars have been removed, making it look the same on the outside but significantly compromising its stability;
Hardware is categorized by grades. Low-priced, low-quality products with no upgrade plan are offered;
The color difference control is poor, resulting in significant color variations within the same batch of furniture.
VIII. Acceptance guarantee measures (to be implemented during the negotiation stage)Sign the technical annex, specifying the thickness of the board, brand, hardware model, edge banding requirements, and environmental standards;
Agree on a sampling inspection mechanism for goods upon arrival, with the cost of returning and replacing the entire batch of non-conforming products and reworking borne by the office furniture customization manufacturer;
Clarify the scope of warranty: distinguish between material quality issues and human damage, and stipulate the replacement cycle of after-sales parts in writing.
